As a growing company, we are URGENTLY in search of a dynamic and experienced Admin Assistant to assist in our offices, display suites and show suites. This is a part-time position from Monday to Friday (10:00 am to 2:00 pm); with occasional after-hours and weekend work attendance required. We are looking for someone who takes pride in their work, has an eye for detail, who will develop strong internal and external relationships and who takes the initiative as appropriate to help contribute to a very busy and mega-successful team. The main responsibilities include the following: - General reception activities include answering phones, greeting visitors, and serving guests with refreshments.
- General day-to-day administration activities.
- Act as a liaison between salespersons, administrative teams, and clients.
- Responsible for general office management and maintaining supplies, and merchandise as well as updating records accurately.
- To be able to travel between offices (multiple locations), display and show suites and ensure all locations are kept tidy, professional, and in compliance with local jurisdictions.
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company.
- Setting up and organising company events, auctions etc.
- Any other administrative tasks as assigned from time to time.
Ideally, you possess the following skills and experience: - Excellent command of written and spoken English. Proficiency in other languages including Mandarin is a benefit.
- Minimum 3 years experience in an administrative role within New Zealand.
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly.
- Excellent attention to detail.
- Good computer skills, including Google Suite and the ability to quickly learn new software(s).
- Able to use and operate office equipment such as printers etc.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands,
- Demonstrate a high level of customer service skills and ability to handle high-pressure situations
- Having a marketing background and experience in design and video editing will be an excellent advantage
- Full New Zealand Driver's License and flexibility to work in different locations as needed.
