Key Responsibilities: Client Communication: Act as the first point of contact for clients, answering phone calls and emails promptly and professionally. Schedule appointments and property showings as requested. Document Management: Prepare, review, and organize real estate documents, contracts, and agreements. Ensure all paperwork is accurate, complete, and filed correctly. Listing Management: Assist in the creation and management of property listings on various online platforms and in marketing materials. Coordinate the preparation of property brochures, flyers, and signage. Database Management: Maintain and update the client database with accurate information. Organize and manage client and property files, ensuring confidentiality and compliance with data protection regulations. Transaction Support: Assist real estate agents with the closing process by coordinating inspections, appraisals, and other necessary services. Follow up on deadlines and ensure all parties meet their obligations. Marketing Support: Collaborate with the marketing team to create and distribute marketing materials, including newsletters, social media posts, and email campaigns. Monitor and track marketing efforts for effectiveness. General Administrative Tasks: Handle general administrative duties such as photocopying, scanning, filing, and office organization. Maintain office supplies and order as needed. Research and Analysis: Conduct market research to provide real estate agents with up-to-date information on market trends, property values, and competitive listings.
Qualifications: High school diploma or equivalent (Bachelor's degree in business administration or a related field is a plus). Previous administrative experience, preferably in a real estate or related industry. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong organizational and multitasking skills. Excellent verbal and written communication skills. Familiarity with real estate software and databases is an advantage. Attention to detail and a commitment to accuracy. Ability to work independently and as part of a team. Real estate license or willingness to obtain one is a plus.
